Configure your SME System account, organisation details, and team preferences.

Manage your account settings to get SME System working the way your business needs.

Organisation Settings

Company Details

Set up your organisation profile so quotes and documents display correctly:

  1. Navigate to Settings from the sidebar
  2. Under Organisation, update:
    • Company Name: Appears on quotes and PDFs
    • Address: Used on quote headers
    • VAT Number: Your UK VAT registration number
    • Contact Email: Where system notifications are sent

UK-Specific Defaults

SME System is pre-configured for UK businesses. The following are set by default and cannot be changed:

  • Currency: GBP (£)
  • Date Format: DD/MM/YYYY
  • VAT Rate: 20% standard
  • Spelling: UK English (Colour, Licence, Organise)

Team Management

Inviting Team Members

To add colleagues to your organisation:

  1. Go to SettingsMembers
  2. Click Invite Member
  3. Enter their email address
  4. Assign a role (Admin or Member)
  5. Click Send Invite

Your colleague will receive an email invitation to join your organisation.

Roles and Permissions

SME System supports two roles:

  • Admin: Full access to all modules, settings, and billing
  • Member: Access to CRM, Contacts, Products, and Sales modules

Removing Team Members

To remove a member:

  1. Go to SettingsMembers
  2. Find the member you want to remove
  3. Click Remove
  4. Confirm the removal

Removed members lose access immediately. Their data remains in the organisation.

Billing and Subscription

Viewing Your Plan

  1. Go to SettingsBilling
  2. View your current plan, billing cycle, and next renewal date
  3. See usage details (seats, storage, etc.)

Upgrading or Downgrading

  1. Go to SettingsBillingChange Plan
  2. Select the plan that fits your team
  3. Changes take effect immediately
  4. Billing is prorated automatically

Payment Methods

Manage your payment methods under SettingsBillingPayment Methods. We accept all major credit and debit cards via Stripe.

Notifications

Email Notifications

Control which emails you receive:

  1. Go to SettingsNotifications
  2. Toggle notifications for:
    • New lead assigned to you
    • Quote status changes
    • Team member invitations
    • Billing reminders

Security

Password

Change your password under SettingsSecurity. Use a strong password with at least 8 characters, including uppercase, lowercase, numbers, and symbols.

Two-Factor Authentication

We recommend enabling 2FA for additional security:

  1. Go to SettingsSecurity
  2. Click Enable 2FA
  3. Follow the setup instructions
  4. Save your backup codes securely

Active Sessions

View and manage your active sessions under SettingsSecuritySessions. Sign out of any device you don't recognise.

Data and Privacy

Exporting Your Data

You can export your contacts, products, and quotes at any time:

  1. Go to SettingsData
  2. Click Export Data
  3. Choose the format (CSV or JSON)
  4. The export downloads immediately

Deleting Your Account

To permanently delete your account and all associated data:

  1. Go to SettingsDataDelete Account
  2. Read the warning carefully
  3. Type your password to confirm
  4. Click Delete Permanently

This action cannot be undone. All contacts, leads, quotes, and products will be permanently removed.
